Subject:Ask for advice
Hi June
Hey! How are you? Recently I've received a complaint letter about our exhibition services...
First, they challenge our online registration system. He should blame on the Internet Service Provider. Also, he thought the space was so small and there were not enough leaflets. I am totally confused and don't know how to tackle with these problems. I've attached the complaint letter. Please give me some comment as soon as possible. Thank you for your help!

Subject: Complaint about Sound Systems 2011
Dear Ms Kong
I am writing to respond the problems on the exhibition Sound Systems 2011. Mr Leung who is the visitor has sent me a complain letter about problems on the exhibition. I would like to summarize the problems and propose some solutions.
1. Online registration failure
The online registration system had been failure to operate during the registration period. As a result, visitors reqiured to spend several hours on registering to attend the event. After investigation, the issue was caused by the limited bandwidth provided by the i-cable. It is possible for us to request detail explanation from i-cable or even change another internet service provider to maintain our service stability.
2. Lack of space
Mr Leung argued that the venue was crowded. However, the choice of location is based on the convenient which the visitors could easily access. Fortune Hotel is already the best choice with excellent transport connection. Also, the room had been the biggest one in that hotel. Therefore, I propose that we should not accept this complaint.
3. Insufficient leaflets
Third problem is about insufficient supply of leaflets. As a result, the visitors could not get the product information. It was caused by some visitors who took more than one leaflets. But we had already printed plenty of leaflets. In future, it is a good way for us to employ part-time workers to distribute the leaflet to ensure every visitors can get one.
I hope that my approach can be adopted. I am sincerely looking forward to your reply.

Doming Pang

Re: Exhibition Services Matters
Thank you for your letter on 10 March 2011 concerning our exhibition services in Sound Systems 2011. We would like to explain those issues and apologize for problems that may cause you.
First, we agree that the online registration system was problematic in use and visitors had to spend more time on registration. After investigation, it was caused by the limited bandwidth. We have contacted broadband service provider and request detail explanation. In order to enhance our service stability, we may change our service providers.
Second, thanks to convenience location of Fortune Hotel with excellent transport connection, this exhibition had attracted many visitors and even over our expectation. The venue may be crowded in peak hours. But we had already reserved the largest room in that hotel. Due to provide more attrative and convenience loaction to our visitors, we counld not change the venue place.
Finally, it is important to note that we have prepared sufficient leaflets for visitors. Unfortunately, many visitors took more than one leaflets when entered the exhibition. In order to solve the issue, we would like to employ part-time workers to distribute leaflets to visitors in hand in futrue.
We would appreciate to listen customers valuable opinions to maintain quality services. To show our goodwill, we would like to provide a free ticket for next month exhibition. Please feel free to contact me on 2123 4567 if you have future enquiry.
